PDF Workflow

Compress Before Merging Large PDFs

Merging large PDF files can produce an output that is too big to email or upload. Always compress individual files first for the best results.

Ideal for combining scanned contracts, reports, or multi-document submissions.

Check your file sizes

If any individual PDF is larger than 5MB, it should be compressed before merging. Combining three 10MB files produces a 25–30MB merged PDF — too large for most email providers.

Compress each PDF individually

Upload each large PDF to the compressor. Use Medium quality for a good balance of size reduction and visual clarity. For scanned documents, Low quality is usually fine — text remains readable.

Verify the output quality

Download and open each compressed file before proceeding. Check that text is readable and any important images or signatures are still clear.

Merge the compressed files

Upload all your compressed PDFs to the merge tool. Drag to reorder if needed, then click Process. The merged output will be a fraction of what it would have been.

Compress the merged file if needed

If the merged output is still too large, run it through the compressor one more time. This final pass usually reduces size by another 15–25%.

A single scanned A4 page at 300 DPI can be 2–4MB. Compressing before merging typically reduces a 10-page combined document from 30MB to under 3MB.

Most job portals limit uploads to 1–2MB per file. Here is how to prepare your resume, certificates, and supporting documents to meet these requirements.

If your resume is in Word format, convert it to PDF first. PDF ensures your formatting looks identical on every device and operating system.

Compress your resume

Upload your resume PDF and compress it using Medium quality. A well-formatted resume should compress to under 200KB — well within any portal limit.

Compress scanned certificates

Scanned certificates are image-heavy and often 2–5MB each. Compress each one using Low or Medium quality. The text and stamps will remain legible for verification purposes.

Resize your passport photo if required

Some portals require a passport-sized photo at specific pixel dimensions. Use the image resizer to set exact dimensions — typically 413×531px for most Malaysian and UK systems.

Most job application portals accept files up to 2MB. A text resume should be under 200KB, scanned certificates under 500KB each, and transcripts under 1MB.

For documents containing sensitive information — contracts, financial statements, medical records — converting and adding password protection before sharing is essential.

If your document is in Word or another format, convert it to PDF first. PDF is the safest format for sharing — it prevents accidental edits and preserves formatting.

Add a watermark if needed

For documents shared for review purposes, adding a CONFIDENTIAL or DRAFT watermark signals that the document is not for final use. Set position to center, opacity to 30–40%, and rotation to 45 degrees.

Protect with a password

Upload your PDF and set a strong password. Share the password with the recipient separately — through a phone call or a different messaging channel, never in the same email as the document.

Compress before sending

Even protected PDFs can be large. Run the protected document through the compressor before attaching to email. The password protection is preserved through compression.

Never send the document and its password in the same email. If the email is intercepted, both will be compromised. Use a separate channel — SMS, phone call, or a different messaging app.

Image Workflow

Remove Background and Resize for E-Commerce

Marketplaces like Shopee, Lazada, and Amazon require product photos on white backgrounds at specific dimensions. Here is the complete workflow.

Ideal for Shopee, Lazada, Amazon, Etsy, and any e-commerce platform requiring standardised product images.

Take a clean product photo

Place your product on a flat surface with good, even lighting. Natural daylight from a window is ideal. Avoid shadows by positioning light sources in front of the product. Use your smartphone rear camera for the best quality.

Remove the background

Upload your photo to the AI background remover. It automatically detects the product and removes the background, leaving a transparent PNG. Works best when the product contrasts clearly with the background.

Add a white background

Open the transparent PNG in Canva (free), Microsoft Paint, or any image editor. Create a white rectangle behind the product image. This produces the clean white background required by most marketplaces.

Resize to platform requirements

Each platform has different image size requirements. Shopee: minimum 500×500px, recommended 1024×1024px. Lazada: minimum 800×800px. Amazon: minimum 1000px on longest side. Use the image resizer to set exact dimensions.
